Job Description:

The Workorder Dispatcher coordinates the flow of work. The dispatcher ensures the materials or parts, are available, then coordinates with operations and the available labor to schedule the job. The dispatcher does this while making sure to level the workload of the technicians and to complete the workorder information gathering. The lead times for parts and equipment as well as the elapsed time to complete the workorder are critical data points to collect in ARCHIBUS. This information will then be used on the next workorder cycle to improve efficiency and the workorder process.

This position requires the employee successfully complete a criminal background check, drug screening, and obtain and maintain a government security clearance.


Responsibilities

Workorder Dispatcher works with the Workorder Planner and Trade leads to assign workorders and to balance the workorder flow. The dispatcher needs to balance the demand, safety, urgent, and preventive maintenance workorder activities to achieve the required KPI performance levels. Their duties and responsibilities include (but are not limited to):

  • Reviews the open workorders and the available technicians for each day. Decides the priorities and assigns the work. Follows up on critical, urgent, or overdue jobs and expedites materials and parts.
  • Works within ARCHIBUS to estimate the time required to complete work.
  • Balance workload between technicians to get all workorder completed each cycle.
  • Assists with the management of safety data sheet (SDS) documentation in accordance with established project procedure.
  • Follows up on purchase orders to ensure that parts and materials arrive on time.
  • Maintains vendor records in accordance with company policy.
  • Matches delivery and billing records to purchase orders.
  • Arranges for transfer of materials to meet production schedules.
  • Arranges with outside vendors schedules and duration of their work.
  • Arranges with department supervisors for repair and assembly of material and its transportation to various departments.
  • Examines material delivered to production departments to verify material meets specifications.
  • Computes amount of material needed for specific job orders, applying knowledge of product and manufacturing processes as needed.
  • Compiles reports of quantity and type of material on hand as needed.
  • Closes out workorders and fills in wrench time and materials used. Uses actual workorder completion data to estimate the next workorder cycle time.
  • Other duties as assigned

Qualifications

  • High school diploma or equivalent
  • Possess a valid drivers license
  • 5 years’ experience in CMMS dispatching
  • Familiar with basic facility maintenance and operations
  • Proficiency in Microsoft Office product suite (e.g., Excel, Word, PowerPoint, etc.) and email management systems.
  • Read and write English
  • Strong attention to detail
  • Excellent organizational skills
  • Interact professionally at all organizational levels and with the client
  • Execute multiple projects simultaneously

Desired Qualifications:

  • Associates degree
  • Archibus experience
  • Experience in facility management
  • Familiar with CMMS systems (ARCHIBUS experience is a plus)
